Shipping policy

Shipping Policy — Full-Stage

Full Stage & Trading Corp. establishes in this document the general conditions applicable to the preparation, dispatch, transport and delivery of orders for LED screens, truss, stages, lighting and other professional event equipment.

1. Scope

This policy applies to all B2B orders managed by Full-Stage. The specific conditions of each order —route, mode, timelines and Incoterm when applicable— are established in the corresponding quote or order confirmation.

2. Free shipping — products with badge

Some products on full-stage.com are identified with the "Free Shipping" badge. Only those products include the free shipping benefit. The complete terms of the benefit —destinations, limitations and scope— are available at full-stage.com/pages/envio-gratis.

3. Products without badge — transport at buyer's cost

Products that do not display the "Free Shipping" badge do not include the cost of transport. Freight, logistics management and the corresponding delivery conditions will be detailed in the order quote.

4. Manufacturing and transport: independent stages

Order confirmation is not equivalent to the shipment date. Full-Stage orders comprise two independent stages with their own timelines:

  • Manufacturing or configuration stage: Time required to produce, configure, inspect and pack the equipment.
  • Transport stage: Transit time from origin to the agreed destination.

The total order timeline includes both stages. Timelines are estimates unless Full-Stage assumes a different commitment in writing.

5. Pre-dispatch conditions

Before dispatching the order, the following conditions must be met:

  1. Receipt of payment or agreed deposit in accordance with the order conditions.
  2. Confirmation of the equipment's technical specifications.
  3. Confirmation of the complete and valid delivery address at the destination.
  4. Confirmation of the customs or tax information required for the destination country.
  5. Buyer approval of pre-shipment inspection documentation.
  6. Agreement on the applicable logistics conditions (Incoterm, route, carrier).

6. DDP mode (Delivered Duty Paid)

DDP mode applies only when expressly indicated in the quote, order confirmation or written agreement. It is not assumed in any order.

In a DDP operation, Full-Stage assumes:

  • Packaging appropriate to the equipment type
  • International transport (sea or land)
  • Cargo insurance during transit
  • Customs clearance in the destination country
  • Import duties
  • Import taxes included
  • Delivery to the agreed destination address

In a DDP operation executed normally in accordance with the quote, the buyer pays no additional freight, customs or taxes already covered in the agreed scope.

7. Buyer cooperation — documentation and data

The buyer must provide in a timely manner the information required to manage the shipment:

  • Tax and import data required by customs in the destination country.
  • Confirmation of the complete delivery address before dispatch.
  • Permits, licences or special documentation required at the destination for the type of equipment.
  • Designation of a point of contact at the destination to coordinate receipt.

Delays or additional costs arising from incomplete or incorrect information provided by the buyer will not be Full-Stage's responsibility.

8. Estimated timelines — not guaranteed

Delivery timelines indicated in the quote are estimates. Actual times may vary depending on:

  • Destination country and city
  • Selected route and transport mode
  • Carrier or shipping line availability
  • Customs processes in the destination country
  • Order volume and characteristics

Full-Stage does not guarantee delivery timelines unless there is a different express commitment agreed in writing.

9. Delays and circumstances beyond control

Certain circumstances may affect estimated timelines without this constituting a breach by Full-Stage:

  • Port or airport congestion
  • Adverse weather conditions
  • Extraordinary customs inspections
  • Strikes by carriers, stevedores or port personnel
  • Government import or transit restrictions
  • Disruptions to strategic routes (Panama Canal, Strait of Hormuz, etc.)
  • Declared force majeure

If a significant variation in cost or scope is detected before contracting transport, Full-Stage will notify the buyer in writing.

10. Cargo insurance

Shipments under DDP mode include cargo insurance during international transit. The insurance covers transport risks in accordance with the scope indicated in the quote.

In the event of damage or loss during transport, coverage will be subject to the terms of the policy and the documentation provided by the buyer at the time of equipment receipt.

11. Partial deliveries and consolidated cargo

When an order includes multiple units or references, Full-Stage may coordinate delivery in one or more shipments depending on transport operational conditions. Partial deliveries must be agreed in writing before dispatch.

12. Delivery address and changes

The delivery address must be confirmed in writing before dispatch. Any changes must be requested in writing and may require re-quoting if they affect the distance, country, route, carrier or customs conditions. Once the order has been dispatched, any modification is subject to the carrier's feasibility and acceptance. Additional costs arising from the change are the buyer's responsibility.

13. Unloading, personnel and equipment at destination

Delivery does not include the following services, unless expressly stated in the quote:

  • Unloading from the vehicle or container
  • Forklifts, cranes or lifting platforms
  • Unloading personnel
  • Transfer within the premises or delivery location
  • Equipment installation and assembly
  • Electrical connection and commissioning
  • Opening or dismantling of packaging
  • Adaptations to the delivery location

The buyer must have adequate access, personnel and equipment at the delivery point, and verify in advance the height, weight, schedule and access restrictions at the receiving location.

14. Tracking

Full-Stage will provide the buyer with available tracking information according to the contracted transport mode, which may include: dispatch confirmation, logistics documentation, general stage of the order in transit, updates according to carrier and route, and advance notice of arrival at port or destination. Full-Stage will contact the buyer directly in the event of significant variations.

15. Review upon receipt

Upon receiving the equipment, the buyer must:

  1. Inspect the outer packaging before signing the receipt document.
  2. Document any visible damage to the packaging at the time of delivery.
  3. Check the contents against the delivery note or packing list.
  4. Take photographs and videos of the condition of the packaging and equipment when opening.
  5. Retain original boxes, pallets, protections and labels.
  6. Contact Full-Stage within the first 72 hours of any incident.

16. Damage and claims

If the equipment arrives with visible damage, missing parts or discrepancies from the agreed order, the buyer must document the damage with photographs and videos, report the case to Full-Stage as soon as possible (preferably within 72 hours), retain all original packaging, and include the order number and description of the problem. Do not install or use the equipment before reporting the damage.

Each case is reviewed individually based on the evidence provided, transport documentation and insurance coverage. Full-Stage will communicate the resolution in writing.

17. Cancellations after dispatch

Once an order has been shipped or is in transit, it cannot be cancelled as an ordinary return. Any cancellation request after dispatch will be evaluated according to the conditions agreed in the quote, committed logistics costs, transport status and the conditions of the Returns Policy.
